IGRS Inc. is a company registered in Japan, with its head office in Wakayama City, Wakayama Prefecture. We provide agency services for obtaining official Japanese documents on behalf of clients overseas.
Depending on your inquiry and the service requested, we may collect: your name (in Latin and, where relevant, Japanese characters), email address, telephone number, mailing address, the contents of your inquiry, and the document details necessary to carry out the service (for example, date of birth, registered address in Japan, or passport number).
We use your information only to: respond to your inquiries; obtain the requested documents on your behalf; arrange certified translation and apostille; handle mailing and international delivery; send you important communications about your case; and comply with applicable laws.
We do not provide your personal information to third parties except: with your consent; to contractors who assist us in performing the service (under appropriate confidentiality obligations); where required by law; or where necessary to protect someone's life or safety.
We take reasonable security measures to prevent loss, leakage, or alteration of personal information, and we limit access to staff who need it for the service. As a rule, we delete or dispose of case-related personal information within 90 days after the service is completed, unless retention is required by law.
Because our clients are located overseas, we transmit digital copies of documents and case information internationally as needed to deliver the service. We keep such sharing to the minimum necessary and require our partners to handle the information appropriately.
We may use analytics tools such as Google Analytics to understand how the website is used. These tools may use cookies to collect access information that does not by itself identify you. You can disable cookies in your browser settings.
You may request access to, correction of, or deletion of your personal information, or ask us to stop using it. After verifying your identity, we will respond within a reasonable period.
